Job Title:Contract- Collection and Recoveries Vehicle Disposal Administrator

The C&R Vehicle Disposal Administrator reports to the External Partner Section Manager and will be the day-to-day administrator supporting HFE’s Collections and Recoveries Department.


Main Responsibilities:

1. General Administration
• Managing internal post process
• Action daily letter requests from the department
• Banking and invoice management
• Manage department inboxes through outlook
• Take action on queries relating to outsourced accounts both internally and externally
• Ensuring that office supplies are available and that mail, emails and other documents are distributed.


2. Reporting
• production of management information (MI)
i. Weekly Report for Management Meeting
ii. Internal Management Report
iii. Monthly C&R Report
iv. FLA Quarterly Reporting
v. W/O Report + Reconciliation
vi. Annual Vehicle Disposal Ki Report
vii. Update Arrears Summary by Ki each month

3. External Agency Management
• Process arrivals, pre-sales and post-sale reports from the Auction Houses
• Deal with any vehicle disposal queries
• Order replacement V5’s
• Process auction house remittances prior to finance hand-off

4. Disposal Administration
• Ensure that Voluntary Terminations are processed in good time
• Assign vehicles to collection agents where required

5. Regulatory Administration
• Action Consumer Credit Act (CCA 1974) correspondence in line with processes and company requirements / amend transactions and figures where required • Assist Management in the production and maintenance of FCA complaint and TCF work policies and procedures, with a focus on financial difficulties and vulnerability.
• Understand and apply FCA CONC rules with dealing with each customer agreement


6. Other Duties
• Assist in any projects, system upgrades, etc. when required
• Proactively seek to improve processes and procedures within department
• Continuing to enhance one’s own learning’s and education
• Recognise and refer any Vulnerable Customer

Qualifications, skills and experience required:
• Knowledge of using a range of office software, including email, spreadsheets and databases
• Experience in preparing and analysing reporting data for management accurately and to timescales
• Able to demonstrate good organisation, prioritisation, and time management skills
• Demonstrate successful communication with internal and external customers at all levels via telephone and email
• Be a positive example and brand ambassador for HFE
• Ability to interact with senior management
• Motor Finance experience would be an advantage
